In Short: When we sync a merchant's orders, we handle a small amount of personal information about that merchant's customers. The merchant decides what happens to it; we act only on their instructions.
This section is about a different relationship from the rest of this notice. Everything above concerns the personal information of the person who holds an account with us. This section concerns the personal information of a merchant's own customers — the buyers who place orders on the marketplaces and stores a merchant connects to MarketplaceHub.
For this information the merchant is the controller and MarketplaceHub is the processor. The merchant decides why it is held and for how long, within the limits set out below. We process it only to provide the service the merchant has asked for, and on their instructions. We do not use it for our own purposes: no marketing, no personalisation, no profiling, no advertising, and we never sell it or share it with anyone for their own use.
When a merchant connects a sales channel and enables order sync, an order brings with it:
That is the whole set, and it is deliberately smaller than what the marketplaces would give us. We do not request the marketplace's customer or buyer profile object, and we do not ask for a store's full order history — only the recent orders needed to keep a merchant's workspace current. We hold no payment card details at any point.
Our lawful basis is the performance of our contract with the merchant. We do not market to buyers, so there is no consent for a buyer to give or withdraw to us; a buyer exercises their rights through the merchant, who is the controller.
We charge some merchants based on the total value of the orders we process. That calculation uses order values only — the order reference, the dates, the amounts, the currency and any refunds. No part of a buyer's identity is used for billing or held in our billing records.
Buyer identity is erased 24 months after the most recent order that uses it, and sooner where the marketplace an order came from requires it: 30 days for orders from Amazon, which is Amazon's own rule for information obtained through its API. A scheduled process removes the name, phone number, email address and shipping address, leaving the order itself intact — orders are a financial record both the merchant and we need to keep.
Where a buyer has ordered more than once, each order counts on the rule for the marketplace it came from, and the details are kept until the last of those periods has passed. So a returning customer's details are not removed while any of their orders is still recent, and a shorter marketplace rule never shortens the period for orders placed somewhere else.
Backups are kept on a rolling seven-day window, so erased details remain recoverable from a backup for at most seven days after erasure and then age out on their own.
Amazon is the only marketplace with a shorter rule today. Should another introduce one, it will apply the same way — to the information obtained from that marketplace only — and will be named here and in the policy for that marketplace.
Where a marketplace provides a deletion channel, we implement it. For Shopify we support the three mandatory privacy webhooks: a request for a customer's data, a request to erase a customer, and a request to erase a shop. A shop erasure removes that store's connection and the imported product data held for it. A merchant may also ask us directly, at [email protected], to erase their customers' information.
